Payment and refunding policy

Payments

The registration fees for the GEOSTAT 2013 Quebec city summer school are 550 CAD; these cover the actual costs, no profits are made (6-day+excursion).
Participants from ODA countries (employer and/or residence in an ODA country) may apply for a discounted price of 250 CAD. The fees are not covering the accommodation. Accommodation in residence will be available for those who would like to stay on the campus of Laval University (single/double occupancy). You will find more information about the services included with the accommodation residence here. You can make your own reservation on-line if your all set (french, english) or contact the local organisers (Jean-Daniel, Guillaume) to make arrangements for double occupancy room sharing.   For information, you can also contact Summer Housing of the Services des Résidences de l’Université Laval at 418-656-5632 or by email at hebergement@sres.ulaval.ca and mention the name of the event.

Payment for Geostats event  is possible only through a bank-transfer; the costs of transfer must be covered by the registrants. The payment of the course fees must strictly follow the indicated dead-line (day, hour and minute within the indicated time zone). If the payment or proof of payment (a copy of a bank transfer / letter from the department head or dean certifying that the costs will be met within a delayed time-frame) arrives after the dead-line 1st april 2013 24:00 EST (New-York), the summer school organizing committee will return the payment and/or invite the next participant on the waiting list. This information will be regularly updated on the course website, which should be considered as the main source of information about the course.

At the end of the summer school, each participant will receive a certificate of attendance and a copy of the invoice,  which he/she can use to claim their costs within their organization (or with who ever the budget holder is). We typically do not issue certificates or invoices before or during the summer school.

Cancelations and refunding

All cancelations must be sent in writing via fax, e-mail or regular mail to the Summer School organizers. Expect confirmation of your cancelation within 3-5 days. We appreciate early notice about cancelation because the waiting list is usually long.

This is an event with a very tight budget planning (organizers typically make zero profit), which imposes some limitations considering the refunding possibilities (also common for many similar international research conferences):

  • refunding of the course fees is possible but only if a replacement (applicant on a waiting list) exist;
  • the replacement must accept the terms and conditions of payment and cover the course fees within the given deadline;
  • in the case of emergency Illness or Death of Registrant or Immediate Family Member or similar tragic accident (not caused by the applicant), the organizers might refund the complete fees even if no replacement exists (to be decided by the organizing committee);
  • in principle, No refund will be issued for cancellations within 4 weeks before the beginning of the event;

In some cases, applicants cancel participation in the summer school in the last minute. Most frequently this happens due to two reasons: (1) registrant did not receive a visa or travel permit on time; (2) registrant has missed an airplane/train. In both cases the same refunding policies will imply (no refunding is possible). The only thing we can provide is a letter explaining the situation to your employer with a copy of this refunding policy. Please make this clear to your budget holder before the beginning of the summer school.
